Summary
The College of Nursing & Health Sciences at Barry
University is seeking a full time Administrative Assistant I. This is a full
time position at the Main Campus.
This position serves as the frontline administrative
assistant for CNHS (College of Nursing & Health Sciences)Dean’s office and
is responsible for providing administrative support for the Dean’s office and
CNHS. This person must be resilient, congenial and possess a can-do attitude.
This position supports members of the College on main campus in Miami Shores
and other CNHS distance sites as the need arises. Top notch, administrative
assistant provides clerical and administrative support, display a helpful
demeanor, and have the agility to shift secretarial styles from day to day and
assignment to assignment with ease. Must be flexible to accommodate schedules
as required by the assigned faculty or staff as well as the office-at-large.
Regular and timely attendance is required.
Essential Functions
Assist the Dean’s Office:
- Manage
CNHS main line and Dean’s office phone calls, student intakes.
- Understand
CNHS policies/procedures in order to give accurate and precise information
to students, faculty, and external affiliates requesting information.
- Manage
inventory of main office supplies and orders.
- Maintain
Siena 136 conference room and Siena 336 classroom, including keeping in a
neat and organized manner and reporting any IT issues or needs.
- Provides
clerical, administrative, and special projects support for the Dean’s
office.
- Liaison
for DOIT, Facilities and Public Safety; including putting in and f/u with
work orders.
- Notify
Dean’s Office of any updates, changes or emergencies regarding IT, AV,
classroom issues, schedules, Public Safety emergencies, facility
changes/emergencies.
- Run
errands for Dean’s office.
- Assist
with Workday requisitions.
- Assist
with holiday greetings and gifts from the Dean’s office.
Performs administrative/clerical functions in support of
CNHS Marketing on an as needed basis:
Specific Marketing Duties Include:
- Manages
the CNHS Event Calendar.
- Promotional
Items.
- Marketing
Budget.
- Print
Collateral (Sell Sheets, brochures, and Short Run) .
- Data
Entry (Lead Input) Monthly Reports for CNHS marketing .
- Sign
Orders Managing trade show logistics.
- Expense
Tracking (reimbursement).
- Organize
and manage logistics for photo shoots.
- Assist
with follow-up on marketing projects.
- Manage
organization of digital files (ShareFile)
Additional Duties:
- Assist
Dean’s office with bulk mailings to students, i.e., acceptance letters,
etc. and letters to alumni, donors, and various external constituents.
- Assist
Associate Dean by obtaining signatures for CNHS programs, including:
final transcripts, grade adjustments, change of majors, withdrawals,
grade appeals,
- Assist
Associate Dean with CNHS faculty and staff professional development
request process.
- Manage
the SharePoint site for CNHS leadership, faculty, and staff.
Other duties as assigned
Qualifications/Requirements
- High
school diploma or GED. Bachelor's degree is preferred.
- 1-3
years of related experience.
- Intermediate
experience managing projects such as organizing student, and faculty
orientation sessions
- Experienced
using Microsoft Office Suite, SharePoint and other computer computer
software.
- Must
have the ability to take minutes, create memos, letters, and formal
emails.
- Must
have excellent communication skills, verbal and written.
