Responsibilities

  • Assign new project codes in the Accounting system
  • Establishes file folders for new projects, filing all set-up paperwork
  • Handle the processing of monthly Retainer, Time and Materials billing for our clients
  • Verify retainer budgets that have been entered into the Accounting system
  • Review weekly Project manager reports – complete and close assigned tickets
  • Review and verify accuracy of billing and supporting documentation as required
  • Prepare draft invoices for Client Manager’s approval
  • Create and print final client invoices
  • Research and respond to inquiries regarding billing issues
  • Maintaining billing files with invoices issued and related correspondence
  • Maintain write-off documentation and reconciliation
  • Prepare monthly journal entries
  • Review all correspondence relating to contracts to validate billing terms
  • Assist with the year-end audit
  • Enforce billing policies and procedures
  • Ability to effectively interact and communicate with Client managers, administrative assistants and clients if necessary
  • Ability to execute complex bills in a timely manner (i.e., discounts, split-party billing, and preparation of electronic bills).
  • Ability to handle a high volume of bills per month.

Qualifications

  • Bachelor’s degree from an accredited college or university preferably in business, finance or accounting preferred.
  • 1-3 years of billing accounting experience.
  • Working knowledge of Excel.
  • Working knowledge of Dynamics SL Software experience is a plus.
  • Candidates who are detail oriented, organized and able to juggle multiple assignments with varying deadlines in a fast paced environment are highly encouraged to apply.
  • Strong interpersonal skills, a professional demeanor and a proven proficiency in MS Excel, Word and Outlook
