Position Summary

This position provides support for both the Mechanical Engineering main office and the undergraduate advisor/program in mechanical engineering. Duties for each position are broken out below.

Main office support includes, but is not limited to the following duties:

  • Processing vouchers in for faculty, staff and students in EBS
  • Travels, out of pocket expenses, honorariums, travel authorizations
  • Travel arrangement assistance for faculty, staff, and students when requested
  • Departmental ordering
    • requisitions
    • purchasing card transactions
    • office supplies
  • Seminar support
    • room reservations
    • food ordering
    • publicizing abstracts
    • helping with travel arrangements as requested
  • Communicating information to faculty, staff, and students
  • Daily operational items such as classroom and conference room scheduling and service requests

Support for the undergraduate advisor/program in Mechanical Engineering includes, but is not limited to the following duties:

  • Providing general office support to the undergraduate advisor
    • answering the phone
    • scheduling advising appointments for ME juniors and seniors
    • having knowledge of FERPA rules and regulations
    • processing online registrar forms
    • entering data into SIS (student information system) as requested
    • classroom scheduling as requested
  • Ordering book desk copies as needed for ME course instructors
  • Help faculty enter book information in RO system
  • Distribution and processing of SIRS forms (3 times per year)
  • Entering data into CLIFMS related to courses

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, desktop publishing, calendaring and/or presentation software; typing and filing; and may require knowledge of technical or medical terminology and/or technical training related to the field of employment; may require bilingual abilities in a specific language; or an equivalent combination of education and experience.

Desired Qualifications

Experience with Microsoft Office; ability to work well under pressure; ability to work independently on multiple projects simultaneously; strong interpersonal and written/verbal skills; ability to organize, multi-task, coordinate, and attend to details; familiarity with Enterprise Business Systems (EBS).
