DESCRIPTION

The position is the sole/primary administrative and operational support position for the Special Collections department, providing a high-level of administrative support and culturally-competent customer service to internal and external constituents and serving as a member of the department's leadership team. Primary responsibilities include direct administrative support for all operations and programs of Special Collections, including budget and finance, donor stewardship, events and travel, and office and file management, and liaising with Libraries Administration, Finance, Facilities, and Development. Promote a culture that is conducive to effective relationships among diverse team members; ensure safe practices and environmental consciousness are exhibited in decisions; may lead a project team involved in completion of difficult assignments, requiring proficient knowledge of field of specialization: Daily interaction, coordination, and collaboration with employees at all levels across the Libraries and University. Primarily liaison with Libraries' Business Office and Facilities. Typically work with minimal supervision on difficult assignments, conferring with manager on unusual matters: Ability to take an independent role in decision making regarding budget related matters and day to day office management. Manage time and prioritize daily activities, completing tasks in a timely and accurate manner. Oversee the report compilation of budget information and provide reports to Department Head, Faculty, and Libraries Administration and Development. Accountable for accurate travel arrangements, reimbursements and follow through to ensure that reimbursements are received. Interpret and communicate information, ideas and instructions clearly, accurately and persuasively both verbally and in writing including materials intended for distribution: Interact with internal and external constituents from diverse backgrounds, including donors, patrons, colleagues, and vendors. Regularly handle confidential and/or sensitive matters with respect to donor relations and daily budget decisions with an awareness of classified nature. Assist in preparation of internal and external communications for department. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Proficient and comprehensive knowledge of defined skill areas/applications to integrate fundamental elements from other specialties into work assignments; apply knowledge of principles, practices, and procedures of a particular field of specialization to complete difficult assignments: Provide guidance to Faculty/Staff regarding budget/travel policies and procedures and have a working knowledge of University business systems (ERS, IBIS, FIT, and Workday).
