Job Summary:

Serves as first point of contact for the Dean’s office. Performs high level, responsible support to the dean which includes calendar management, scheduling meetings with key stakeholders, preparing meeting agendas, maintain meeting minutes, reviews and prioritizes all requests of the Dean’s office from the president’s office, provost’s office, advisory board members, donors, faculty, staff, students and the public. Anticipates critical tasks and ensures all deadlines are met; provides executive support as needed to Associate Dean, Assistant Dean, faculty, Director of Philanthropy, Director of Communications, and Budget Officer. Plan travel arrangements and process appropriate university related documents as related to travel as needed. Coordinate Lewis Speaker Series. Completes annual equipment and space inventory reports. Provides faculty administrative support, maintains faculty records in the university faculty database according to University regulations. Creates and maintains records of faculty meetings. Coordination of weekly meetings with support staff to facilitate communication on tasks of program areas within the College. Proactively respond to correspondence by writing, editing, and distributing written communications. Responsible for initiating, planning, executing, monitoring, controlling and closing of college-wide events including Executive Advisory Board meetings, faculty/staff events, and college-wide meetings. Acts as college host by ensuring the coordination of travel, lodging, ground transportation and overall itinerary for college visitors, including faculty candidates and college advisory board members. Closely works with dean and development director to develop an ongoing personal relationship with all types of prospective donors using personal contact, written correspondence and events. Provides executive level support to the college’s development director position to ensure all college goals are being met.
