Position Summary

The Center for Integrative Studies is seeking a customer service oriented Office Supervisor II to support and facilitate operations of a small academic unit. This position reports directly to the Center director.

Duties and Responsibilities: Provide counsel to the director regarding financial planning; coordinate undergraduate ISS courses, which educate over 15,000 students per year; administrative liaison to the College of Social Science. Schedule ISS courses and SSC 299 and SSC 499. Manage changes and enrollments over the course of the year. Problem solve for issues that arrive in scheduling, staffing. Assist in estimating future demand for courses. Assist students enrolling in ISS courses and IDS/GLIS major courses (overrides, etc.)

Monitor and project expenditures for the unit, analyze data, and develop forecasting reports; process travel reimbursements; monitor and reconcile accounts. Oversee administration of the undergraduate IDS and GLIS degree programs housed in the Center. Maintain the Center’s web sites.

Oversee the human resource activities for the Center; review and approve all personnel actions; initiate faculty and academic staff personnel actions; manage the hiring and reappointment process for fixed term faculty, academic staff, support staff, graduate and undergraduate assistants, and student workers.

Foster a culture of inclusiveness and helpfulness within the organization, provide coaching to direct reports, Center colleagues and leadership on processes, procedures, and business related issues.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical, vocational or business school with coursework in office management and business; one to three years of related and progressively more responsible or expansive work experience in office management, budget preparation, financial and administrative record-keeping and secretarial skills; experience in word processing, spreadsheet, database, desktop publishing, and/or web page design or presentation software; or in performing responsibilities related to the operational activities of the employing unit; and may require one to three years of supervisory experience; or an equivalent combination of education and experience.
