Scope and Purpose:
Under the direct supervision of the director of Academic Advising, the AAC coordinator manages the student traffic flow in the AAC and assists the director of ACC and AAC advisors with all administrative tasks.
Essentials Duties and Responsibilities: (not all inclusive)
1. Manages traffic flow of students in the AAC.
2. Answers phone and responds to walk-ins.
3. Maintains and keeps up-to-date all student forms at the AAC.
4. Manages major declaration process.
5. Assists students with general questions.
6. Assists AAC staff with all clerical duties.
7. Performs administrative activities.
8. Keeps all AAC offices stocked with necessary office equipment and copier stocked.
9. Assists AAC director with budget, including keeping track of AAC expenditures and requisitioning needed materials.
10. Maintains records of all AAC staff leave requests and posts up-to-date leave schedule to AAC drive.
11. Keeps track of AAC student worker timesheets and schedules.
12. Trains student workers on AAC front desk operations for coverage during absence.
13. Works with units across campus to reserve rooms and organize needed materials for AAC events.
14. Collaborates with other AAC staff in developing university events related to AAC.
15. Refers students to appropriate university resources such as Tutoring Center, Writing Center, Counseling Center, Student life etc.
16. Assists the director of AAC in compiling and organizing data for and composing an annual report on AAC.
17. Assists with the development, revision, and updating of AAC processes, forms, and publications.
18. Participates in ongoing professional development, staying current on theories and practices of academic advising by reading NACADA research.
19. Performs other duties and responsibilities as assigned in support of the needs of students and the AAC.
Knowledge/Experience:
1. Bachelor’s degree required.
2. Fluency in both Arabic and English.
3. Minimum 1-year experience as an administrative assistant/office coordinator.
