The scope of our Statement of Work (SoW) encompasses a comprehensive range of activities within the field of manufacturing engineering and services. This includes the review of Computer-Aided Design (CAD) models, drawings, and technical specifications, as well as the evaluation of off-the-shelf parts. We are also committed to providing technical support and developing models, in addition to constructing functional demo samples. 

To ensure the highest standards of quality and compliance, all work performed under our SoW will strictly adhere to relevant industry standards and regulatory requirements. Moreover, we will closely follow any documentation provided by the Client, which outlines specific project requirements, constraints, or expectations. This approach guarantees that our work not only meets but exceeds the project's stipulated goals.

VePub takes full responsibility for executing all tasks outlined in the scope of work. This includes the development of functional demo samples, which are crucial for the project's success.

Work Tasks Breakdown

Work Task 1: Design Review
Our initial step involves a detailed review of the existing concept and design. Our goal is to ensure that these elements align with the technical specifications provided, validating both the functionality and compliance of the concept with the overarching objectives of the project.

Work Task 2: Build Samples
Upon receiving approval for the test plan from the customer, we will proceed with the fabrication of the samples. This process includes:
- Fabrication: Crafting the samples in accordance with the approved design.
- Testing: Evaluating the Mechanical and Electrical performance of the samples to ensure they meet the required standards.

Work Task 3: Deliver Samples
The final step involves packaging and dispatching the completed samples to the customer for further examination and testing. In instances where any samples do not meet the testing criteria, they can be returned to us for a thorough evaluation. Based on this assessment, we will provide recommendations for any necessary design modifications to enhance the performance of the product.

This meticulous approach ensures that every aspect of the project is executed with precision, from the initial design review to the final delivery of samples, aligning with our commitment to excellence and customer satisfaction.

To ensure the successful completion of the project within the agreed-upon timelines and budget, we implement rigorous project management practices. This includes conducting regular progress reports and meetings to keep the Client fully informed and engaged throughout the project lifecycle.

Project Plan
A dedicated single Point of Contact (POC) will be appointed to liaise with the Client’s Technical Project Officer (TPO) and Procurement Officer (PO). This structure is designed to streamline communication and ensure that all discussions regarding technical issues and subcontract administration are directed to the appropriate channels. It is important to note that any changes to the Statement of Work (SoW) or technical specifications require the formal authorization of PO. Our aim is to create a project plan that accurately reflects the Client's expectations and succinctly integrates all project elements into a well-organized document.

Project Schedule
We will develop a comprehensive schedule that outlines all key components of the project, including work tasks, meetings, progress reports, hold points, key milestones, and deadlines for deliverables. The TPO will have the flexibility to add additional items to the schedule as needed. Any changes to the project schedule will be promptly updated to reflect the current status of the project.

Project Kickoff Meeting
A project kickoff meeting will be convened following the receipt of the initial payment, as specified in the terms of the agreement. This meeting will involve the POC, along with key members of the project management and engineering teams. The primary objective of this meeting is to ensure mutual agreement on the SOW, any necessary sub-contracts, and all technical specifications. A draft of the meeting minutes, documenting the discussions and outcomes, will be prepared and sent to the TPO for review and approval within 48 hours of the meeting.

Progress Meetings
Regular technical and progress meetings will be scheduled at times and locations mutually agreed upon by the TPO and POC. These meetings are an opportunity to discuss progress, resource allocation, technical challenges, contractual matters, manufacturability concerns, testing outcomes, and potential value engineering opportunities. Minutes from these meetings will be diligently prepared and forwarded to the TPO for review and approval within 24 hours of each meeting.

This structured approach to project management is designed to ensure clear communication, effective collaboration, and the timely completion of the project, all while adhering to the highest standards of quality and efficiency.

 

Throughout the duration of this project, all generated data, including designs, test results, and technical documentation, will be meticulously managed and securely stored. We ensure the Client will have unrestricted access to all project-related data, fostering transparency and collaboration.

Language and Units of Measurement
For consistency and clarity, all documentation will be provided in English. Measurements and parameters will be reported using metric units to maintain universal understanding and accuracy. The use of dual English/Metric units is also acceptable to accommodate diverse preferences.

Electronic Copy Format
To facilitate easy access and review, we will provide electronic copies of all documentation. These electronic copies will be in a searchable Portable Document Format (PDF), rather than scanned images, to ensure ease of navigation and information retrieval.

Correspondence
Electronic documents will be shared with the Client via email, USB storage devices, or compact discs, depending on the Client's preference. All documentation sent via email to the Client will be directed to the Technical Project Officer (TPO). Conversely, documentation from the Client to VePub should be sent to the designated Point of Contact (POC), who will then be responsible for distributing it to the relevant staff within the team.

Configuration Management
VePub is committed to maintaining a robust configuration management system. This system is designed to control changes to documents and items that define the configuration of the device subject to this Statement of Work (SoW), ensuring that all modifications are carefully managed and documented.

Documentation
VePub recognizes the importance of thorough and accessible documentation. Therefore, all documentation associated with this contract and under VePub's control, including but not limited to fabrication drawings, as-built drawings, dimensional inspection documentation, material certificates, and test reports, as well as packing, shipping, and delivery documentation, will become the property of and be readily available to the Client upon request. This commitment ensures that the Client has full visibility and oversight of all aspects related to the construction and delivery of the required sample units.

 

Payment Terms 
Payment for services will be made by the Client according to the selected timeline option: 
•    For the Standard Timeline, payment will be divided into three installments:
40% upfront, 30% upon midpoint review, and the remaining 30% upon completion. 
•    For the Accelerated Timeline, payment will be divided into two installments:
50% upfront and 50% upon completion.
